Office Manager
Treehouse for Friends LLC is seeking a motivated, organized, and professional Office Manager to join our growing team. Experience in home health, healthcare administration, or caregiving services is preferred but not required. We are willing to train the right candidate who demonstrates strong organizational, communication, and leadership skills.
Position Summary
The Office Manager is responsible for overseeing the daily administrative operations of the agency, supporting caregivers and clients, maintaining compliance documentation, coordinating scheduling activities, and assisting with payroll, billing, human resources, and general office management functions.
This position requires exceptional attention to detail, professionalism, confidentiality, and the ability to multitask in a fast-paced environment while maintaining a positive and supportive atmosphere for staff and clients.
Essential Duties and Responsibilities
- Manage daily office operations and administrative functions
- Answer phones, emails, and respond to inquiries from clients, employees, referral sources, and vendors
- Assist with employee onboarding, personnel files, and compliance documentation
- Coordinate caregiver schedules and assist with staffing needs
- Monitor employee documentation, certifications, licenses, and required training
- Maintain accurate client and employee records
- Assist with payroll processing and timekeeping verification
- Coordinate communication between administration, caregivers, clients, and insurance providers
- Assist with billing, authorizations, claims follow-up, and reimbursement tracking
- Prepare reports, correspondence, and other business documents
- Ensure compliance with agency policies, state regulations, and payer requirements
- Assist with quality assurance, audits, and record reviews
- Maintain confidentiality of all client, employee, and business information
- Support agency growth through professional customer service and relationship building
Qualifications
- High school diploma or GED required
- Associate's or Bachelor's degree preferred
- Previous office management, administrative, healthcare, or customer service experience preferred
- Home health, healthcare, or human services experience preferred but not required
- Strong computer skills including Microsoft Office, Google Workspace, email, and electronic documentation systems
- Excellent verbal and written communication skills
- Ability to prioritize tasks and meet deadlines
- Strong problem-solving and organizational abilities
- Ability to maintain confidentiality and professionalism at all times
