Job Overview
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to the CEO directly. The ideal candidate will excel in managing schedules, coordinating projects, and handling a variety of social media and office management tasks. This role requires excellent communication skills, strong attention to detail, and proficiency with office technology and software. The Personal Assistant will play a vital role in ensuring smooth daily operations and supporting the overall efficiency of the organization.
Duties
- Manage and maintain executive calendars using Monday.com, Calendly, and Google Workspace, scheduling appointments, meetings, and events efficiently
- Coordinate various projects, including event planning and logistics management
- Handle correspondence via phone, email, and multi-line phone systems with professional phone etiquette
- Communicating with our teams in Slack and our CRM Software
- Managing our Social Media Accounts, inboxes and platforms
- Support executive administrative needs including calendar management, travel arrangements, and meeting coordination
- Conduct data entry and maintain accurate records using Google Workspace
- Manage client or vendor communications with professionalism and confidentiality
- Utilize PandaDoc for electronic document signing processes
- Provide front desk support as needed, including customer service duties
Requirements
- Proven experience as a Personal Assistant or in an administrative support role with office experience
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Proficiency in Google Workspace, Slack, Hubspot, Monday or GoHighLevel
- Excellent typing speed, along with proofreading and transcription skills
- Experience with project coordination, event planning, bookkeeping, and office management preferred
- Exceptional communication skills including phone etiquette and customer service experience
- Ability to handle confidential information discreetly
- Familiarity with Ring Central, Facebook, Slack, and Buffer
- Strong organizational skills with attention to detail and accuracy
- Ability to work independently with minimal supervision while managing multiple priorities effectively
