The Third-Party Coordinator for donor tissue (sperm, oocytes, and embryos) plays a critical role in ensuring all donor materials are managed in full compliance with FDA regulations and clinic protocols.
This role is responsible for overseeing the end-to-end lifecycle of donor materials—including screening, documentation, coordination, storage, and transport—while ensuring seamless alignment between patients, donors, external agencies, and the clinical team.
Key Responsibilities1. FDA Compliance & Documentation Management
- Ensure all donor tissue (sperm, oocytes, embryos) complies with FDA regulations and internal clinic protocols
- Maintain complete and accurate donor records including:
- Medical history
- Infectious disease testing
- Genetic screening
- Ensure all required FDA testing and retesting is completed within required timelines
- Maintain audit-ready documentation at all times
2. Donor Screening & Coordination
- Coordinate recruitment and screening of sperm and egg donors based on clinic and regulatory criteria
- Oversee completion of all required testing (infectious disease, genetic, medical clearance, etc.)
- Communicate with donors throughout the screening process to ensure understanding and compliance
- Coordinate clearance prior to use in treatment cycles
3. Tissue Management, Storage & Logistics
- Coordinate collection, cryopreservation, and release of donor tissue
- Manage shipment logistics with donor banks, agencies, and storage facilities
- Ensure proper documentation accompanies all shipments
- Track location, availability, and expiration of all donor materials
4. Cycle Coordination & Operational Flow
- Coordinate timing of donor cycles with recipient patients and clinical team
- Ensure alignment of:
- Donor availability
- Recipient readiness
- Lab scheduling (retrievals, fertilization, transfers)
- Act as operational point of contact for third-party cycles throughout treatment
5. Tracking, Reporting & Inventory Management
- Maintain real-time tracking of donor inventory, usage, and expiration dates
- Ensure accurate documentation in EMR and internal tracking systems
- Provide reporting for audits, compliance reviews, and internal oversight
6. Collaboration & Communication
- Serve as primary liaison with external donor banks, agencies, and storage facilities
- Partner with physicians, embryology, nursing, and financial teams to ensure cycle readiness
- Support internal staff with guidance on FDA and third-party requirements
- Collaborate with legal and compliance teams as needed
Expectations & Qualifications
- Strong understanding of FDA regulations and reproductive tissue handling
- High attention to detail with strong organizational and documentation skills
- Ability to manage multiple time-sensitive cycles simultaneously
- Strong communication skills across clinical and external stakeholders
- Ability to work independently in a fast-paced IVF environment
- Experience in IVF, embryology, or reproductive coordination strongly preferred
