We are currently looking for full-time – Executive Assistant to CFO
Starting at $60,000 - $65,000; contingent upon experience, education, etc.
Position Summary: The Executive Assistant to our CFO manages the CFO's calendar, coordinates meetings and travel, prepares financial reports and presentations, handles confidential financial information with discretion, acts as a liaison with internal and external parties, organizes and maintains financial records, and assists with special projects and ad-hoc tasks, often involving data research and composition of correspondence related to financial operations.
Essential Duties and Responsibilities:
Schedule meetings, appointments, and travel arrangements for the CFO, ensuring all commitments and deadlines are met.
Serve as the primary point of contact for inquiries from internal departments, staff, and external partners, directing and resolving issues as needed.
Compose and edit correspondence, draft memos, prepare reports, and assemble materials for meetings, often with an understanding of financial transactions and procedures.
Assist with preparing and revising financial reports, presentations, and budgets; support monthly reporting, audits, and compliance activities.
Maintain financial records, manage confidential information with discretion, and ensure accuracy and organization of all documentation.
Provide hands-on support for special projects, conduct research, compile data to aid decision-making, and perform other administrative duties as assigned.
Maintain files, manage office supplies, process purchase orders, and ensure smooth and efficient operation of the CFO's office.
Our Ideal candidate:
- Associate's degree (A. A.) or equivalent from an accredited college or university
- At least five years related experience and/or training
- At least two years management experience.
- Ability to communicate effectively (written and oral)
- Ability to interface well with all departments within the agency and to represent the respective executive team member in a professional manner.
- Demonstrated the ability to communicate effectively and professionally with internal and external contacts to the organization.
- Ability to adapt quickly and comfortably to shifts in priorities while maintaining the highest level of customer service and responsiveness.
- Possess a high degree of proficiency with MS Office products including Word, Excel, Access, Power Point and Outlook.
- Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the executive's role within the organization.
- Ability to work with a diverse population.
- Ability to read and comprehend instructions, and prepare correspondence, and memos.
- Ability to work the time necessary to support the CFO’s challenging schedule and complete
- projects and/or meet deadlines.
- Ability to handle multiple projects simultaneously.
