Key Responsibilities
Executive & Administrative Support
- Manage and maintain the executive’s calendar, including scheduling meetings, resolving conflicts, and arranging complex travel itineraries.
- Monitor and prioritize incoming communications, including email and messages, ensuring timely and effective follow-up.
- Draft and prepare high-quality reports, presentations, agendas, and meeting minutes.
- Stay ahead of priorities and deadlines to enhance the executive’s efficiency and effectiveness.
Communication & Coordination
- Act as the primary liaison between U.S.-based and international teams, ensuring clear, timely, and professional communication.
- Schedule, coordinate, and manage virtual meetings using Zoom, Microsoft Teams, and other platforms.
- Make phone calls and send messages on behalf of the executive, maintaining a high level of professionalism and warmth.
Operations & Workflow Optimization
- Support the execution of key initiatives and coordinate with internal departments and external vendors.
- Identify opportunities to streamline processes and improve operational efficiency.
- Provide reliable support on various administrative, logistical, and operational tasks.
Technology & Tools
- Proficiently use tools such as Google Calendar, Calendly, Zoom, Microsoft Teams, Microsoft Office Suite, Google Workspace, and AI tools like ChatGPT.
- Proactively explore and implement new technologies to optimize scheduling, workflows, and task management.
Relationship Management & Professional Courtesy
- Draft and send thoughtful communications, including birthday messages, congratulations, and thank-you notes.
- Coordinate personalized gifts or acknowledgments for internal staff, clients, and vendors on behalf of the executive.
- Nurture professional relationships through proactive and considerate outreach.
Confidential Personal Assistance
- Discreetly assist with sensitive personal tasks such as banking, vehicle purchases, and other private matters.
- Maintain the utmost confidentiality and integrity in handling both professional and personal information.
Qualifications
- Minimum of 5 years of experience in an executive assistant role, supporting C-suite/V-Suite or senior executives.
- High school diploma required; bachelor’s degree preferred (e.g., Business Administration, Communications, Psychology, or Office Management).
- Exceptional written and verbal communication skills in English (Bilingual a plus).
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Highly tech-savvy, with proficiency in productivity and collaboration tools; experience with AI-enhanced tools is a plus.
- Proven ability to handle sensitive and confidential information with discretion.
