What are the responsibilities and job description for the Billing Specialist position at Traveling Teams Inc.?
The Billing Specialist is responsible for preparing and distributing invoices/billing statements on assigned accounts, whilst ensuring compliance with Generally Accepted Accounting Principles (GAAP) and all internally established standard operating procedures (SOPs). The Billing Specialists work in conjunction with accounting interns, accounting clerks, A/R specialists, collections specialists, and department management.
General Duties/Responsibilities:
- Verify the accuracy of billing data, correcting any errors.
- Create itemized statements, bills, and invoices.
- Contact external representatives to obtain, verify, and update account information when necessary.
- Enter key data of financial transactions daily into databases and spreadsheets.
- Reconcile customer accounts in a timely manner.
- Provide accounting assistance and training support to other department team members.
- Research, track, and restore documentation discrepancies.
- Function in accordance with established standards, procedures, and applicable laws.
- Perform all daily duties as assigned by Supervisor(s).
Required Skills/Abilities:
- Basic understanding of clerical and administrative procedures.
- Excellent written and verbal communication skills.
- Excellent attention to detail.
- Excellent organizational and time management skills.
- Ability to solve problems as they arise and maintain confidentiality.
- Proficient in Microsoft Office Suite or similar software, such as QuickBooks – Desktop.
- Familiarity with basic bookkeeping procedures and financial transaction requirements.
Education and Experience:
- High school diploma or equivalent required; Associate’s degree or higher preferred.
- 1-3 years prior billing, accounts receivable, or accounts payable experience required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must see in normal visual range, with or without correction.
- Must hear in the normal audio range, with or without correction.
- Must be able to handle stressful situations and maintain strong mental acuity.
- Must be able to adequately move around the office setting, with or without correction.
