We are seeking a dynamic, detail-oriented, and highly organized Full-Time Customer Service Dispatcher to join our Non-Emergency Medical Transportation (N.E.M.T.) team. The ideal candidate will manage incoming requests, coordinate transportation logistics, and ensure high-quality service delivery to clients, drivers, and brokers. This role requires excellent communication, strong analytical skills, and the ability to perform effectively in a fast-paced environment. Pay is based on prior experience.
Duties & Responsibilities
- Answer incoming calls from drivers, brokers, and clients regarding trips, updates, and inquiries.
- Schedule and accept same-day and future trips, assigning them appropriately based on driver and vehicle availability.
- Confirm future trips with members, ensuring accuracy of contact information and pickup addresses.
- Export trips from broker platforms into dispatching software and create PDF schedules for drivers.
- Report same-day and future trip issues to brokers promptly (e.g., cancellations, non-working phone numbers, accidents/incidents, rescue requests).
- Coordinate and dispatch drivers within their assigned geographic areas to maximize efficiency.
- Ensure compliance with HIPAA rules and regulations at all times.
- Track and report daily trip volume to the supervisor.
- Ensuring drug free work environment as required by brokers / providers.
Qualifications
- Strong analytical skills with the ability to interpret GPS data, GIS mapping tools, and transportation analytics for informed decision-making.
- Excellent verbal communication skills paired with professional phone etiquette for effective interaction with clients, drivers, and internal teams.
- Proficiency in data entry systems such as CTS or similar platforms; strong typing speed and accuracy required.
- Knowledge of fleet management practices and driver coordination procedures.
- Familiarity with transportation planning principles and route optimization.
- Ability to multitask efficiently using multi-line phone systems while maintaining a calm, positive attitude under pressure.
- Basic understanding of medical terminology and appointment scheduling standards.
- Keeping driver and vehicle records up to date for the company and brokers.
Qualifications
- High school diploma or equivalent (Associates degree preferred.)
- Experience in dispatching, transporting, healthcare, customer service, or logistics preferred.
- Strong verbal and written communication skills.
- Multitasking in a fast paced environment.
- Proficient with computers, routing systems, and dispatching software.
- Ability to remain calm and professional under pressure.
- Bilingual skills are a plus.
