Job Summary
We are seeking an Admissions Specialist I to provide Contact Center-based support via phone, email, fax, and web to facilitate patient placement requests for dialysis treatment options. This role focuses on delivering exceptional customer service while coordinating treatment placements and supporting healthcare partners, hospitals, discharge planners, and internal teams.
The ideal candidate will have strong communication skills, attention to detail, customer service experience, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Respond professionally and promptly to inbound calls, emails, faxed referrals, and treatment inquiries
- Coordinate patient placement requests through outbound calls, emails, and other communication methods
- Contact hospitals and healthcare facilities to complete placement requests
- Maintain accurate records and update required databases and CRM systems
- Build and maintain strong relationships with hospitals, discharge planners, case managers, and internal teams
- Support emergency dialysis placement coordination during emergency events
- Ensure compliance with HIPAA regulations and maintain confidentiality of PHI
- Contribute process improvement ideas and help enhance operational workflows
- Provide exceptional customer-focused service in stressful or time-sensitive situations
- Participate in surveys and feedback collection from patients and partners
- Work collaboratively across teams to achieve departmental goals and metrics
- Perform additional duties as assigned
Required Qualifications
- High School Diploma or equivalent required
- Minimum 6 months of related customer service, healthcare support, call center, or administrative experience
- Data entry speed of 25 40 keystrokes per minute
- Basic proficiency in Microsoft Excel and Access
- Intermediate proficiency in Microsoft Word and Outlook
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Ability to work effectively under pressure while maintaining professionalism
- Strong attention to detail and follow-through

Schedule Information
- Expected shifts may range between:
- 8:00 AM 4:30 PM (M F)
- 9:30 AM 6:00 PM (M F)
- Possible future Saturday schedule rotation (Sunday plus one weekday off)
- Schedule will be confirmed during onboarding
Training & Work Environment
- Training is fully remote except for the first day onsite
- After training, employees will work remotely
- Team members are expected to come into the office once per month
- Typical in-office day is the 3rd Wednesday of each month
