Transportation on Demand Inc. is seeking a detail-oriented and proactive Fleet Manager to oversee the daily operations, safety, and compliance of our fleet of 50 NEMT (Non-Emergency Medical Transportation) vehicles. This role is critical to ensuring that our fleet operates smoothly, efficiently, and in full compliance with all internal policies and regulatory standards.
Key Responsibilities:
Fleet Operations & Maintenance
- Manage, inspect, and maintain a fleet of 50 NEMT vehicles, ensuring all are road-ready and compliant.
- Oversee daily driver vehicle inspections (DVIRs); ensure inspection forms are completed before each shift.
- Track, schedule, and verify completion of routine maintenance (oil changes, battery checks, etc.) and repairs.
- Order and manage vehicle parts, safety supplies, and inventory for all vehicles.
- Monitor and maintain the functionality of wheelchair lifts, stretchers, Q-straints, seatbelts, tie-downs, and safety bags.
- Maintain up-to-date vehicle registration and tags by coordinating with the DMV.
- Negotiate repair costs with mechanics to ensure fair pricing and seek approvals for expenses beyond standard rates.
Compliance & Inspections
- Ensure all vehicles are equipped with required TOD decals (e.g., “How’s My Driving,” Google Review, Southern Connector).
- Confirm GPS and camera systems are functional and correctly identify drivers and vehicles.
- Conduct regular audits and safety inspections to ensure vehicles meet company and regulatory standards.
- Upload and maintain accurate vehicle information in broker systems for compliance.
- Ensure new vehicle are promptly insured and remove inactive vehicles.
Driver & Contractor Oversight
- Monitor driver behavior and safety compliance using the vehicle camera system; issue write-ups for violations.
- Ensure drivers wear proper uniforms (company shirts, vests, hats, name badges, black pants, and appropriate shoes/boots).
- Verify that WEX gas cards remain with their assigned vehicles and are linked to the correct driver.
Cleaning & Presentation
- Supervise the cleaning schedule for all vehicles:
- Ensure interior and exterior cleanliness standards are met consistently.
Reporting & Communication
- Maintain updated vehicle lists for insurance, car wash schedules, and operations.
- Actively monitor email communications related to fleet issues and respond promptly.
- Ensure all necessary documentation (A-forms, work orders) is submitted before any repair work is approved.
Safety & Training
- Take full ownership of all safety matters across the fleet.
- Lead monthly safety meetings (held the last Sunday of each month).
- Enforce all safety protocols and uniform policies; issue write-ups as needed.
Qualifications:
- Experience: Minimum 3 years of experience managing a vehicle fleet, preferably in NEMT or transportation services.
- Skills: Strong organizational, negotiation, and communication skills. Proficiency with fleet management software.
- Knowledge: Familiarity with vehicle maintenance, DOT compliance, ADA requirements, and driver safety protocols.
- Physical Requirements: Ability to inspect vehicles, lift supplies, and travel to vendor/mechanic or DMV locations as needed.
- License: Valid driver’s license required.
