We are seeking a dependable, highly organized Project Coordinator to support daily scheduling, documentation, and administrative workflows as our portfolio continues to grow.
Role Overview
This role is ideal for someone who enjoys being the connector and organizer—keeping schedules aligned, information flowing, and tasks moving forward. You’ll work closely with internal team members, field technicians, vendors, and clients to support day-to-day operations.
This is a remote role, with occasional in-person check-ins in Northern California (near Turlock, CA).
Key Responsibilities
Scheduling Coordination
- Coordinate scheduling of on-site work with clients, technicians (internal and external), and vendors
- Conduct daily check-ins with technicians and clients to confirm schedules, access, and readiness
- Collect end-of-day progress reports from technicians
- Monitor work status and escalate issues or conflicts promptly and professionally
Data & Documentation Collection
- Coordinate with clients, vendors, and partners to collect required data and documentation
- Prepare, route, and track forms for e-signature
- Follow up persistently and professionally on outstanding items
- File and organize documents and data within SharePoint following established naming conventions
Light Bookkeeping Support
- Create, send, and follow up on client invoices
Provide miscellaneous bookkeeping and administrative support as needed
Coordinate with our accounting and fractional CFO partner
Administrative Support
- Perform light research and ad-hoc administrative tasks
Support internal projects and process improvements as assigned
Ideal Candidate Profile
The ideal candidate is reliable, organized, and comfortable working independently, with strong communication skills and a professional presence.
Required Qualifications
- Ability to work remotely
- Availability to provide at least 1–2 hours of support daily, Monday–Friday
- Strong written and verbal communication skills
- Comfortable interfacing directly with clients, technicians, and vendors
- Highly organized with strong follow-through
- Proficient with:
Zoom, Microsoft Office (Outlook, Word, Excel), SharePoint, Asana, and QuickBooks Online
Preferred Qualifications
- Prior experience in administrative, operations, or coordination roles
- Experience supporting professional services, construction, energy, facilities, or asset management teams
- Familiarity with scheduling field-based teams or vendors
- Located in Northern California and able to attend occasional in-person check-ins near Turlock, CA
Compensation:
$20-30 per hour based on experience
