Job Summary
The Safety, Compliance, & Onboarding Assistant supports the Safety Director by assisting with new-driver onboarding and orientation, employee training, regulatory compliance, driver log monitoring, credential tracking, and communication of developing safety or operational concerns. This position helps ensure that drivers understand company policies, Department of Transportation requirements, hours-of-service regulations, and Tradewinds Transportation LLC safety expectations.
A key responsibility of this position is identifying developing problems early and promptly making Dispatch and the Safety Director aware of issues that may affect a driver’s legal availability, safety, qualification, or ability to complete an assignment.
Responsibilities
DRIVER ORIENTATION & ONBOARDING
- Assist with new-driver orientation and onboarding activities.
- Prepare orientation materials, training documents, handbooks, checklists, and driver files.
- Review company policies, safety expectations, reporting procedures, and operational requirements with new drivers.
- Help drivers understand the proper use of company systems, applications, electronic logging devices, and required documentation.
- Confirm that required orientation forms, acknowledgments, and qualification documents are completed.
- Assist with scheduling driver travel, lodging, transportation, and other reasonable onboarding accommodations.
- Coordinate with Safety, Recruiting, Dispatch, Maintenance, and Operations throughout the onboarding process.
TRAINING SUPPORT
- Assist with scheduling, assigning, and tracking required driver training.
- Help deliver company safety training, remedial training, policy updates, and orientation instruction.
- Monitor completion of assigned training courses and contact drivers regarding incomplete or overdue assignments.
- Maintain accurate records of training dates, subjects, attendance, completion, and follow-up actions.
- Assist in preparing materials for safety meetings, driver communications, and coaching sessions.
HOURS-OF-SERVICE & LOG COMPLIANCE
- Review driver logs and supporting documents for accuracy and compliance.
- Identify potential hours-of-service violations, missing information, unidentified driving, form-and-manner errors, and improper use of personal conveyance or yard movement.
- Communicate log concerns to drivers and provide basic instruction on correcting preventable errors.
- Document repeated or serious log issues and promptly report them to the Safety Director.
- Assist with maintaining records related to electronic logging devices and hours-of-service compliance.
- Immediately escalate suspected falsification, tampering, or serious regulatory violations.
DISPATCH & OPERATIONS COMMUNICATION
- Monitor driver records and activities for issues that may affect dispatch operations.
- Promptly notify Dispatch and the Safety Director when a driver is nearing available driving or on-duty limits.
- Notify Dispatch when a driver may not have sufficient legal hours to complete an assigned load.
- Report missing or incomplete load documentation, unreported delays, service concerns, or qualification restrictions that may affect dispatching.
- Alert the appropriate department to expiring licenses, medical certificates, permits, or other required credentials.
- Immediately communicate safety concerns that may require a driver or vehicle to be removed from service.
- Follow up to confirm that identified concerns have been reviewed and addressed.
COMPLIANCE & RECORDKEEPING
- Assist with maintaining driver qualification, training, safety, and compliance records.
- Track driver credentials and expiration dates, including commercial driver’s licenses, medical certificates, annual reviews, permits, endorsements, and other required documents.
- Contact drivers regarding missing, expired, or upcoming documentation requirements.
- Assist with annual motor vehicle record reviews and other required compliance processes.
- Help review inspection reports, accident documentation, citations, warnings, and corrective-action records.
- Assist with internal audits and preparation for regulatory, insurance, or customer reviews.
- Maintain confidentiality when handling driver, employee, medical, and company information.
ADDITIONAL RESPONSIBILITIES
- Coordinate and maintain J-Truck assignments for new drivers and other designated employees.
- Conduct and document required driver check-ins, including follow-up on onboarding progress, training completion, equipment concerns, and operational needs.
- Provide administrative support to the Safety Director as assigned.
- Assist with driver communications, policy acknowledgments, and compliance follow-up.
- Help maintain organized electronic and paper files.
- Participate in safety meetings, orientation sessions, and company training programs.
- Perform other related duties that support the Safety Department and company operations.
QUALIFICATIONS
- High school diploma or equivalent required.
- Experience in transportation, trucking, safety, dispatch, training, compliance, or office administration preferred.
- Familiarity with DOT and FMCSA regulations preferred.
- Basic understanding of hours-of-service and electronic logging requirements preferred.
- A valid Class A Commercial Driver’s License is preferred but not required. Class A CDL experience is helpful in understanding driver responsibilities, commercial vehicle operations, roadside inspections, and the day-to-day challenges faced by professional drivers.
- Strong organizational, communication, computer, and recordkeeping skills.
- Ability to recognize developing problems and communicate them promptly and professionally.
- Ability to maintain confidentiality and exercise sound judgment.
