Duties
- Greet visitors, clients, and staff with a warm, professional demeanor, providing excellent customer support at all times
- Manage multi-line phone systems, directing calls accurately and courteously to the appropriate departments or personnel
- Handle front desk operations including check-ins, appointment scheduling, and visitor sign-ins using office management software
- Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and meticulous record-keeping
- Assist with administrative tasks such as calendar management, email correspondence, and document preparation using Microsoft Office and Google Workspace tools
- Support office operations by managing supplies inventory, performing basic bookkeeping tasks with QuickBooks, and coordinating office maintenance as needed
- Demonstrate strong phone etiquette and organizational skills to ensure seamless communication flow within the office environment
Qualifications
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
- Excellent computer literacy including proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Strong organizational skills with the ability to multitask efficiently and prioritize tasks effectively
- Bilingual abilities are highly desirable to serve diverse client needs
