What are the responsibilities and job description for the Administrative Technician position at Town of Timnath?
We’re looking for an Administrative Technician who enjoys keeping things organized and helping people. In this role, you’ll support multiple departments, handle front-desk interactions, process permits and reservations, and keep daily operations on track. If you’re detail-oriented, community-focused, and like a role with variety, we’d love to have you on our team. This position works Monday through Friday from 7:30 to 4 pm.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Answer phones, route phone calls as appropriate
- Greet and assist public, deliveries and unsolicited sales calls at front desk
- Performs data entry and basic word processing
- Processes and distribute office mail
- Assist in resolving citizen complaints and respond to public requests for service and information
- Assist other departments with tasks and projects as needed and provide support for office personnel
- Process and coordinate the distribution of reservoir permits
- Process, review, and route 3rd party special event applications
- Process community garden applications
- Process park shelter reservations
- Process community room reservations
- Assist with coordinating PROST Committee such as posting agendas, keeping track of term limits etc.
- Create monthly staff calendar
- Generates reports for public distribution
- Periodic review of Parks and Recreation website pages checking for accuracy and relevancy
- Periodic review of recreation software system checking for duplicate households, outstanding balances, etc.
- Purchase all office supplies for the public works/parks building
- Purchase all snacks, drinks, water and paper goods
- Coordinate staff meetings, create agenda, speakers and meals
- Other duties may be assigned from time to time, this list is not meant to be all inclusive
QUALIFICATIONS:
- Interpersonal and customer service skills are a must
- Knowledge of office management and administrative procedures, policies, and practices
- Knowledge of municipal operations and functions
- Knowledge and skill in operations of a variety of computer software programs, including word processing (Microsoft Word), and spreadsheets (Microsoft Excel)
- Ability to maintain working relationships with Town employees, Mayor and Town Council, outside agencies, and the general public
- Ability to operate basic office equipment (printer, copier, etc.)
- Ability to communicate effectively verbally and in writing
- Ability to understand, follow, and transmit instructions
- Ability to draft and analyze complex written instructions, policies and procedures.
- Excellent organizational skills
- A valid Colorado Driver’s license is necessary at the time of hire
- Must be able to pass a post offer background screening
EDUCATION AND EXPERIENCE:
- High school graduate
- Two years office experience
