Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
- Handle multi-line phone systems, screen calls, take messages, and provide excellent customer support
- Perform data entry, maintain filing systems, and ensure accurate record-keeping using digital tools like Google Workspace and Microsoft Office
- Assist with financial processing; accounts receivable/payable, statement preparation/disbursement
- Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
- Support office management tasks including supply inventory, order processing, and general clerical duties such as proofreading and document preparation
- Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting clients and customers as needed
- Maintain organization of files, perform regular updates to records, and ensure compliance with office procedures
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Experience with CRM's/management software is a plus.
- Strong organizational skills with the ability to multitask effectively in a busy environment
- Excellent phone etiquette and communication skills.
- Experience with office management software such as QuickBooks for bookkeeping and invoicing
- Proven clerical experience including data entry, filing, proofreading, and calendar management
- Familiarity with multi-line phone systems and front desk procedures
- Exceptional time management skills to prioritize tasks efficiently while maintaining attention to detail
- Knowledge of property management receptionist duties is advantageous but not required; personal assistant experience is also valued
