SUMMARY:
Performs general administrative and professional work in the areas of customer service and departmental support.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Serve as the primary point of contact for visitors, phone calls, and citizen inquiries, providing excellent customer service and information regarding Town services and programs.
- Maintain front desk operations, visitor logs, and security procedures.
- Provide administrative support to the Town Clerk and other Town departments, including data entry, document preparation, filing, records management, and special projects.
- Process incoming and outgoing mail and maintain organized physical and electronic records in accordance with Town retention policies.
- Maintain a clean, organized, and professional front office environment while ensuring confidentiality of sensitive and protected information in accordance with Town policies.
- Receive and process customer payments, including cash, checks, and credit/debit card transactions. Serve as Court Cashier once per month.
- Reconcile Town credit card monthly for purchases and transactions.
- Provide notary services as needed.
- Create and distribute the monthly Staff Calendar.
- Manage office supply inventory, purchasing, and replenishment, including paper products, refreshments, bottled water, and other common workplace supplies.
- Set up and clean conference and meeting rooms before and after meetings.
- Coordinate and assist with staff meetings and events, including scheduling, room setup, refreshments, and related logistics.
- Assist with coordination of Town events as needed.
- Coordinate Community Park Pavilion reservations and assist with Timnath Reservoir management.
- Manage the Adopt-a-Street Program.
- Perform routine facility upkeep tasks, including weekly maintenance of the water feature, running the dishwasher, and watering exterior plants during the spring through fall months.
- Serve as a member of the Safety and Wellness Committee.
- Performs other duties as assigned. This list is not intended to be all-inclusive.
QUALIFICATIONS:
- Strong interpersonal and customer service skills are required.
- Knowledge of office management and administrative procedures, policies, and practices.
- Knowledge of municipal operations and functions.
- Knowledge of and proficiency in computer software programs, including word processing (Microsoft Word) and spreadsheets (Microsoft Excel).
- Ability to maintain effective working relationships with Town employees, Mayor and Town Council, outside agencies, and the general public.
- Ability to operate basic office equipment (fax, printer, copier, etc.).
- Ability to communicate effectively both verbally and in writing.
- Ability to understand, follow, and relay instructions accurately.
- Ability to draft and interpret complex written instructions, policies, and procedures.
- Strong organizational skills.
EDUCATION AND EXPERIENCE:
- High school graduate
- Two years of office experience
- Notary Public, or ability to obtain certification within three months of employment
