The Town of Suffield seeks qualified applicants for the position of Assistant Town Clerk. This is a casual part- time nineteen (19) hours per week position and reports to the Town Clerk. The hours may vary depending on departmental needs and will be scheduled by the Town Clerk. This position performs responsible clerical, technical and administrative work involving the recording and administration of land records, vital statistics and election documents for the Town Clerk’s Office. The successful candidate will perform the duties of the Town Clerk in his/her absence. This work requires attention to detail and involves considerable and constant interaction with the public. Candidate must be willing to take an oath to perform duties of an Assistant Town Clerk and Assistant Registrar of Vital Statistics as required by state statute. Serves the residents of Suffield in a positive, customer-oriented atmosphere that helps promote a positive and professional image for Town government.
Hours:
This is a nineteen (19) hours per week, casual part-time union position, part time union benefits eligible (paid time off including pro-rated sick and holiday), according to the Town Hall Union Contract, as amended from time to time. The Town Clerk’s office is open to the public Monday through Thursday 8:00 a.m. to 4:30 p.m. and Friday 8:00 a.m. to 1:00 p.m. This position’s schedule is Wednesday 10:00 a.m. to 4:30 p.m., Thursday 8:00 a.m. to 4:30 p.m. and Friday 8:00 a.m. to 1:00 p.m., subject to change for training and based off the needs of the Town Clerk’s office. This position occasionally requires long hours beyond those scheduled hours, including occasional evening town meetings and weekend work as job duties demand.
Compensation and Benefits:
Town Hall Union pay grade 8 position, starting at $27.45. This position is a casual part-time union benefits eligible position, including pro-rated sick and holiday pay. Compensation and benefits follow according to the Town Hall Union Contract, as amended from time to time.

Supervision Received:
Works under the general supervision of the Town Clerk.

Essential Duties and Responsibilities:
1. Receive and record various documents, including land records and maps, trade name certificates and veteran discharges.
2. Respond to requests and inquiries for information via telephone or on-line and/or in-person with minimal direction and provides information to the public or interested parties.
3. Administers oaths. Maintains registry of notaries. Serves as a Notary Public.
4. Serves as Assistant Registrar of Vital Statistics. Prepares, files and authorizes the release of confidential and/or sensitive vital statistics information.
5. Issue and maintain records for absentee ballots, assist with voter registration.
6. Receives, posts, and archives agendas, minutes and legal notices for all boards and commissions.
7. Issue and maintain a database of dog licenses.
8. Maintain positive working relationships with school officials, community groups, and the public regarding program offerings and coordination of services; promptly and cordially respond to citizen inquiries, feedback, and complaints about services and facilities.
9. Attend seminars and conferences to remain current on developments in relevant fields.

Minimum Qualifications:
1. Graduation from high school, or high school equivalency diploma (GED).
2. Two years of experience in administrative work involving direct contact with the public and/or records management. Experience from a municipality is preferred.
3. Two years recordkeeping experience, or any other equivalent combination of education and experience.
Special Requirements:
1. Must be Connecticut Certified Town Clerk, or be able to obtain same within three (3) years of employment. Failure to do so will be grounds for dismissal.
2. Must be bondable in the State of Connecticut.
3. Must be willing to attend educational seminars to obtain Connecticut Town Clerk Certification.
4. Valid Driver’s License.
5. Must be a Notary Public or willing to become a Notary Public.
