The paraprofessional in this position works under the general supervision of the Town Clerk and performs a variety of routine and complex supervisory, clerical, administrative and technical work which requires initiative and considerable independent judgment in the application of prescribed policies, procedures and methods.
Schedule
This 35 hour a week Non Union position works a regular schedule of 8:30am to 4:30pm, Monday through Friday with a one hour unpaid lunch break. Due to the nature of this position, the role will require attendance at meetings or to perform work related tasks that fall outside the work hours described above.
Salary
$76,429 - $84,770 Annually, Non Union Grade 12, 7 Hour Shift
Examples of Duties
· Plans, organizes and prepares reports in final draft form including statistical analysis, tabulation, and proofreading;
· Prepares various communications including letters, council agendas, advertisements, resolutions, and reports;
· Assists in budget preparations and control;
· Assists in managing and serving as custodian of official Town records and public documents including land evidence, elections, vitals, probate, licensing, Municipal/Housing Court, and Town Council;
· Plans, organizes, administers, and evaluates the activities of office support staff in specified functions individually and through subordinate supervisors ensuring full compliance with all laws and mandates and ensures completion of all projects with multiple deadlines;
· Prepares and distributes agendas, materials, minutes and records of meetings;
· Prepares and advertises meeting agendas, bid and other advertisements, and legal notices of public hearings and special meetings;
· Prepares reports for Council Meetings as directed;
· Provides public records and information to citizens, civic groups, the media and other agencies as requested;
· Serves as a notary public;
· Prepares surveys and other reports as directed;
· Performs other duties as assigned and which are consistent with this position.
· Attends seminars and workshops related to Town Clerk’s duties and responsibilities;
· Attends Municipal/Housing Court sessions;
· Assists in the preparation of ordinances and resolutions as directed;
· Serves as Town Clerk in the absence of the Town Clerk.
Typical Qualifications
Education and Experience
· Associate’s degree with five (5) years of progressively responsible municipal experience in a Town Clerk’s office, or an equivalent combination of education and experience;
· Must be willing to pursue certification through the IIMC.
Necessary Knowledge, Skills, and Capabilities
· A thorough knowledge of office management procedures, practices, and systems;
· Working knowledge of cash handling and cash reconciliation procedures;
Working knowledge of personal computers and word processing, spreadsheet and database applications.
· Ability to provide leadership in training and supervising clerical staff;
· Ability to communicate clearly both verbally and in writing, and to effectively meet and deal with the public, fellow employees and others
Required Licenses
· Requires a valid driver’s license or ability to obtain one prior to employment.
· Holding a Certified Municipal Clerk (CMC) certification preferred or ability to successfully obtain such designation within three years of hire
Pay: $76,429.00 - $84,770.00 per year
