Duties
- Greet visitors and clients promptly with professional courtesy
- Answer multi-line phone systems, directing calls appropriately and maintaining excellent phone etiquette
- Manage appointment scheduling
- Assist patients with contact lens reorders
- Perform accurate data entry, ensuring accuracy and completeness
- Handle correspondence via email, text, and phone
- Maintain office supplies inventory, order necessary materials, and oversee general office management tasks
- Assist with bookkeeping tasks such as creating feeslips, closing end of day, and creating deposits.
- Support administrative functions such as copying, scanning, and organizing documents
- Provide personal assistance or support to team members as required
Experience
- Prior administrative experience preferred, including clerical work and customer service roles
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and front desk operations in medical or dental settings is advantageous
- Familiarity data entry, filing systems, and basic bookkeeping is desirable
- Excellent typing speed and computer literacy skills necessary for efficient workflow
- Demonstrated professionalism in phone etiquette, proofreading, time management, and customer support functions
