Job Summary: Town & Country Event Rentals is looking for a Department of Transportation (DOT) Coordinator to join our operations team. The DOT Coordinator ensures our drivers adhere to all federal, state, and local DOT regulations. The ideal candidate has hands-on experience managing driver qualification files, hours-of-service compliance, vehicle inspection and maintenance records, and drug & alcohol testing programs. The DOT Coordinator will work closely with our drivers, operations teams, and fleet manager to ensure safety and compliance.

Key Responsibilities:

Records Management & Onboarding

  • Facilitating DOT onboarding procedures such as road tests, physical and drug screen authorizations, and reference checks
  • Secure and maintain confidential driver qualification files (CDLs, medical/physical Cards, MVRs, background checks)
  • Monitor and tracking expirations and renewals, sending reminders as needed

Hours of Service Logs

  • Oversee drivers’ hours of service compliance
  • Review submitted logs for violations, missing entries, or irregularities
  • Coordinate corrective actions or driver counseling, retraining drivers when needed

Driver Vehicle Inspection Reports

  • Oversee driver vehicle inspection reports (pre-trip, post-trip, and roadside)

Review submitted reports for violations, missing entries, or irregularities

  • Coordinate corrective actions or driver counseling, retraining drivers when needed

Drug & Alcohol Safety Program

  • Manage DOT drug & safety testing programs (pre-employment, random, post-accident, and reasonable suspicion)
  • Ensure compliance with FMCSA Clearinghouse

Regulatory Audits

  • Conduct regular internal compliance audits
  • Keep up to date with DOT, FMCSA, state, and local regulations, updating policies and procedures accordingly
  • Lead any external audit proceedings, including document preparation, responses, and resolutions

Reporting & Data Management

  • Prepare routine reports for leadership
  • Track trends in incidents, citations, and non-compliance issues; recommend preventative measures
  • Serve as primary contact when compliance questions arise

Qualifications:

Required

  • High school diploma or equivalent
  • Valid driver’s license; good driving record
  • At least 2-3 years of experience in DOT/FMCSA compliance, operations, or a similar role
  • Working knowledge of DOT/FMCSA regulations
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Strong interpersonal skills; ability to coordinate between multiple departments

Preferred

  • Experience in the Hospitality, Tourism, or Event Rental industry
  • Bilingual (English/Spanish)
  • Certification in DOT compliance or a related credential

Work Environment:

  • This is an hourly, non-exempt position with regular daytime hours, though occasional overtime, evening shifts, and weekends may be required.
  • Office environment with regular visits to the yard and warehouse.
  • Frequent interaction via email, phone, and in-person with staff and a third party compliance team.

Job Type: Full-time

Projected Total Compensation: $24.00 - $28.00 per hour

Expected hours: 40 per week
