Duties

  • Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and confidentiality
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office applications
  • Perform data entry tasks with accuracy, including updating records in QuickBooks or other bookkeeping software
  • Support calendar management by scheduling appointments, meetings, and reminders for staff or executives
  • Assist with office management tasks such as inventory control, ordering supplies, and coordinating maintenance requests
  • Provide clerical support including proofreading documents, preparing reports, and managing photocopying or scanning needs
  • Support customer service efforts by addressing inquiries promptly and professionally, whether via phone or email
  • Maintain a tidy reception area at all times to ensure a professional environment for visitors and staff
  • Contribute to bookkeeping activities such as invoicing or expense tracking when needed
  • Offer personal assistant support to team members by managing their schedules or handling special projects as assigned

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Docs, Sheets, Calendar)
  • Familiarity with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent computer literacy with the ability to adapt to new software quickly
  • Strong typing skills with high accuracy for data entry tasks
  • Exceptional phone etiquette skills for handling multi-line phone systems confidently
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Experience working as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is valued too
  • Knowledge of office management best practices including filing systems and supply management
  • Ability to proofread documents meticulously for errors before distribution
  • Outstanding customer service skills with a friendly yet professional demeanor
  • Effective time management skills to prioritize tasks efficiently in a busy environment
