- Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and confidentiality
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office applications
- Perform data entry tasks with accuracy, including updating records in QuickBooks or other bookkeeping software
- Support calendar management by scheduling appointments, meetings, and reminders for staff or executives
- Assist with office management tasks such as inventory control, ordering supplies, and coordinating maintenance requests
- Provide clerical support including proofreading documents, preparing reports, and managing photocopying or scanning needs
- Support customer service efforts by addressing inquiries promptly and professionally, whether via phone or email
- Maintain a tidy reception area at all times to ensure a professional environment for visitors and staff
- Contribute to bookkeeping activities such as invoicing or expense tracking when needed
- Offer personal assistant support to team members by managing their schedules or handling special projects as assigned
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Docs, Sheets, Calendar)
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent computer literacy with the ability to adapt to new software quickly
