Responsibilities
- Quick books invoice entry manage front desk operations with professionalism and courtesy
- post payments and make collection calls, directing calls accurately and maintaining excellent phone etiquette
- Perform data entry tasks using Microsoft Office and Google Workspace applications, ensuring accuracy and timeliness
- Manage filing systems, both physical and electronic, to maintain organized records
- Assist with calendar management, scheduling appointments, meetings, and reminders for staff
- Support bookkeeping activities using QuickBooks or similar accounting software
- Handle customer service inquiries via phone or email, providing support and resolving issues efficiently
- Conduct proofreading of documents to ensure clarity, accuracy, and professionalism
- Support office management tasks such as supply inventory, ordering materials, and maintaining office equipment
- Provide clerical assistance including photocopying, scanning, and mailing correspondence
- Assist with personal assistant duties as needed to support executive staff
Experience
Candidates should have at least one year of office or administrative experience, demonstrating proficiency in clerical tasks and customer service. Prior experience with office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and QuickBooks is highly desirable. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Strong organizational skills, attention to detail, time management capabilities, and familiarity with front desk operations or medical/dental receptionist roles will contribute to success in this position. Candidates with personal assistant experience or background in bookkeeping will be considered favorably.
