We are currently looking for an experienced FULL CHARGE BOOKKEEPER. This position is a direct hire and reports directly to the President. Salary based on experience $70K with full benefits. This position will manage two direct reports.

Position Summary
This position is responsible for maintaining accurate financial records, ensuring compliance with accounting standards, and supporting day-to-day financial operations. This position requires strong attention to detail, experience with inventory-driven businesses, and the ability to manage sales-related and vendor accounting in a multifaceted business environment. The financial transactions themselves are of a routine nature and require basic knowledge of accounting, but we have a variety of transactions e.g., we receive payments via ACH, Wire Transfer, credit card and mailed in checks. Sales are Net 30 days, against credit cards and partial/full advances. We distribute our products worldwide with 40% of our sales overseas.
Key Responsibilities
- Supervise the recording and reconciliation of daily financial transactions, including sales, returns, purchases, and expenses.
- Maintain general ledger accuracy and prepare monthly financial statements.
- Supervise month-end and year-end closings. Year end data is submitted to our external accountants.
- Supervise monthly reconciliation of bank accounts, credit cards, and inter-company accounts with our distribution center in Netherland.
- Supervise sales order and purchase order entry. Includes verifying item code, quantity, price and other details.
- Import/Export data from ERP to Excel and vice versa.
- Creating new inventory item codes and assigning up to 24 field values in coordination with inventory planning team.
- Audit customer identification for US Drug Enforcement Administration regulated sales (will train).
- Prepare & verify sales data for reporting to US Drug Enforcement Administration on fortnightly basis.
- Supervise entry of purchase orders, vendor invoices, and payments
- Supervise preparing of customer invoices, deposits/advances, and collections.
- Check customer invoices (domestic and export) for pricing and terms.
- Process chargebacks, credits, and customer returns
- Track inventory purchases, cost of goods sold (COGS), and adjustments
- Work with Stockroom team to reconcile inventory records with physical counts and inventory systems.
- Supervise preparation of sales tax filings across 10-15 states.
- Track company insurance policies and prepare reports to reconcile yearly audit statements.
- Track sales commissions for agents.
- Coordinate with customer service, stockroom, logistics, and inventory planning team members.
Reporting & Analysis
- Prepare a selection of weekly and monthly financial reports for management, customer service, and inventory planning.
- Track profitability by product line, collection, or sales channel.
- Support budgeting, forecasting, and cost-control initiatives.
Qualifications
- 5 years of bookkeeping or accounting experience, preferably in B2B wholesale.
- Strong understanding of inventory accounting and COGS.
- Proficiency in accounting software. We use Account Edge and will train.
- Proficiency in Excel, including functions like Vlookup, etc.
- Knowledge of sales tax compliance and reporting.
- Experience with POS systems and/or e-commerce platforms preferred.
