Are you experienced in supporting a management team, and looking for immediate work? Seeking an opportunity to work hybrid for a professional organization? This is the position for you! Nationally recognized real estate management and brokerage firm is seeking a professional Executive Assistant to support their legal management team. This position will focus on managing multiple schedules, coordinating travel, and managing Executive's expenses. This position is long-term temporary through the end of the year, potentially longer. Role will require in office 2-3 days a week, working hybrid the remaining.
Responsibilities will include:
- Communicating with a variety of managers
- Managing multiple calendars for managers
- Scheduling meetings and sending out invites to both internal and external clients
- Proofing calendar invites for proper content and time zone data, without conflicting meetings
- Answering incoming calls as needed
- Scheduling and coordinating travel/accommodations for various managers
- For travel reviewing all potential flights to ensure smoothest travel for team members
- Coordinating on-site meetings with all necessary components: AV equipment reserved, proper set up of meeting space, meals ordered, etc
- Coordinating off-site meetings by selecting proper meeting venues and coordinating all logistics necessary
- Managing high level communication through correspondence and phone response on behalf of executive and team members
- Preparing meeting agendas and ensuring accuracy of information provided
Special Skills:
- Strong Communicator and listener
- Ability to multi-task
- Strong follow up skills
Must Have:
- 3 years of Executive Assistant experience
- Intermediate to Advanced skills in MS Teams and MSWord
- Any experience supporting a legal in-house team ideal
- BS or BA ideal but not required
