Summary Description
The Machinery Parts & Services Administrator supports the Heat Seal Machinery department by coordinating parts orders, service calls, and customer support activities. This role serves as a key connection between customers, suppliers, and internal teams to ensure timely service, accurate order processing, and high-quality support.
What You’ll Be Doing
- Coordinate parts orders and service calls for machines in the field
- Answer calls and work directly with customers and account managers to troubleshoot and resolve issues
- Quote, schedule, and process parts orders, replacements, and service requests in a timely manner
- Manage expedited orders when necessary
- Process customer complaints, returns, and credits
- Maintain and manage both current and legacy parts inventory
- Monitor back orders and work with suppliers to ensure timely fulfillment
- Inspect incoming and outgoing parts to ensure quality standards are met
- Support both internal and external customers with parts and service needs related to machinery and heat seal tooling
- You can prioritize workload and effectively multitask
- You are proficient in Microsoft Word, Excel, Outlook, and ERP systems
- You have strong customer service and communication skills
- You are proactive with decision-making and problem-solving
- You have supply chain or logistics experience (preferred)
- You can read and understand BOMs and schematics
- You have a strong understanding of mechanical systems
- You have experience troubleshooting or working with complex machinery (including pneumatics and mechanical systems)
- You have 3–5 years of business-to-business customer service or field service experience
