Duties
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression of the organization
- Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls accurately using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain appointment calendars and schedule meetings using calendar management tools
- Perform data entry and maintain accurate records through filing, document proofreading, and updating databases such as QuickBooks or Google Workspace
- Support office management tasks including supply inventory, photocopying, scanning, and organizing files
- Assist with clerical duties such as typing reports, proofreading documents, and managing office communications
- Provide exceptional customer support by addressing inquiries efficiently and courteously in person or via phone or email
- Support bookkeeping activities by recording financial transactions and managing basic bookkeeping functions
- Collaborate with team members to ensure smooth daily operations and uphold high standards of office organization
Skills
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and data entry software like QuickBooks
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette with experience managing multi-line phone systems and providing outstanding customer service
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Experience as a medical or dental receptionist is a plus, especially familiarity with appointment scheduling and patient communication
- Personal assistant experience or calendar management skills to coordinate appointments seamlessly
- Attention to detail for proofreading documents and maintaining accurate records
- Time management skills to prioritize tasks efficiently throughout the workday
