Job Summary
We are seeking a dynamic and organized Office Manager / Bookkeeper to join our team! This role is vital in ensuring the smooth operation of our office environment while managing financial records with precision. The ideal candidate will be energetic, detail-oriented, and possess a strong background in office management combined with bookkeeping expertise. You will serve as the first point of contact for visitors and clients, handle administrative tasks efficiently, and maintain accurate financial documentation. Your proactive approach will help foster a welcoming atmosphere and support our team’s success every day.

Responsibilities

  • Oversee daily office operations, including front desk duties, greeting visitors, and managing multi-line phone systems with professionalism and courtesy
  • Maintain organized filing systems, data entry, and document proofreading to ensure accuracy and accessibility
  • Manage calendar scheduling, appointment setting, and calendar management for staff and executives
  • Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
  • Provide exceptional customer service by supporting client inquiries via phone or email, ensuring prompt and friendly responses
  • Coordinate office supplies procurement, manage vendor relationships, and oversee general office maintenance
  • Support administrative functions such as copying, scanning, filing, and managing Google Workspace documents to streamline workflows

Skills

  • Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Excellent phone etiquette and experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Proven clerical experience with data entry, proofreading, filing, and document management
  • Knowledge of office management best practices combined with excellent time management skills
  • Personal assistant or medical/dental receptionist experience is a plus for understanding client-facing roles
  • Strong computer literacy including familiarity with Google Workspace applications (Docs, Sheets, Calendar)
