Duties
- Oversee daily office operations, including front desk management and multi-line phone systems to ensure efficient communication.
- Manage schedule coordination for staff, meetings, and appointments using calendar management tools.
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
- Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations.
- Maintain accurate financial records through meticulous filing, data entry, and ledger updates.
- Manage vendor relationships by negotiating contracts, processing payments, and ensuring timely delivery of supplies and services.
- Oversee human resources functions such as payroll processing, employee onboarding, and maintaining personnel files.
- Assist with event planning for company functions or community outreach activities to promote engagement.
- Support medical or specialized office management tasks if applicable, ensuring compliance with relevant policies and procedures.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills.
- Demonstrated bookkeeping experience using QuickBooks or comparable software.
- Supervising experience with the ability to lead and motivate a team effectively.
- Excellent communication skills—both verbal and written—and professional phone etiquette.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Knowledge of vendor management, budgeting, payroll processing, and human resources practices.
- Experience in event planning and schedule management to coordinate meetings and company events smoothly.
- Familiarity with front desk operations and multi-line phone systems is preferred.
