Primary Purpose:
Supervise staff and manage the registrar/attendance office including PEIMS reporting, grades, and enrollment statistics. Supervise the maintenance of all areas of student scheduling and coordinate printing of all documents needed for the campus. Maintain accurate attendance records for the campus. Perform data entry including attendance and grades. Process student enrollment, transfers, and withdrawals for the campus.

Education/Certification:
High school diploma or equivalent
Special Knowledge and Skills:
Ability to use personal computer and software to develop spreadsheets and databases and do word processing
Proficient keyboarding, file maintenance and 10-key skills
Ability to meet established deadlines
Ability to maintain accurate and auditable records
Ability to use personal computer and software to develop or maintain spreadsheets and databases
Basic math skills
Strong organizational, communication and interpersonal skills
Experience:
Two years data entry experience, preferably in public education environment
Major Responsibilities and Duties:
- Serve as campus PEIMS coordinator responsible for collection, input and maintenance of all PEIMS data relative to campus such as student demographics, scheduling, attendance and student placement in special programs such as Special Education, At-Risk, GT, ESL, and Bilingual.
- Enroll all new students and assign to appropriate classrooms, working with counselor and/or principal for appropriate placement recommendations. Notify appropriate personnel of new enrollees such as Special Services, GT, ESL, and Food Services as needed.
- Responsible for the withdrawal process of students.
- Compile end of six weeks reports for awards and assemblies.
- Request student records information on all new students.
- Prepare for school opening by entering into computer:
- all new student data
- teacher and student course schedules thus building report card schedules for new year
- homeroom numbers to establish class rosters
- Print all campus assigned computer generated reports (attendance, scan sheets, enrollment and grades) on a daily, six weeks, etc. basis.
- Prepare end of month enrollment/class count reports.
- Establish and maintain student cumulative files relative to personal data and academic information.
- Check all student registration cards from Central Office for student demographic changes.
- Enter all demographic changes into computer for reports.
- Verify and check Principal’s Report.
- Distribute scan sheets for report card bubbling.
- Collect scan sheets, check and submit to Central Office for scanning.
- Pick up and distribute report cards to teachers.
- Maintain report card copies file in front office.
- Enter all grade corrections into computer.
- Enter report card/grade information on new students from previous district.
- Answer questions of the general public and parents in regards to school policy, rules, curriculum, state requirements for public education, etc. as necessary.
- Present the district to new parents, students, and the general public in a positive manner, being always mindful of professional discretion with regards to the information this position is privileged to maintain.
- Attend computer seminars as permitted and demonstrate a willingness to serve on committees to promote the goals of the district or campus.
- Demonstrate a willingness to attend classes for extended training at a college or business school to increase and/or maintain skills to be effective in this position.
- Manually record attendance and enter into computer.
- Maintain all computer generated reports for audit purposes.
- Prepare for school closing by preparing cumulative files being sent to next campuses and storage
- Prepare and send excessive absence letters to parents.
- Serve on Attendance Review Committee if assigned by administrator.
- Perform receptionist duties while working at front desk and assist in two-way communication between school and parents.
