Essential Responsibilities
Customer Service & Guest Relations
- Greet customers, vendors, and visitors in a warm and professional manner.
- Create a positive first impression that reflects the Tom Wood commitment to customer service.
- Assist guests with directions and connect them with the appropriate department or team member.
- Maintain a clean, organized, and welcoming reception area.
- Answer and direct incoming phone calls promptly and professionally.
- Take accurate messages and ensure timely delivery to the appropriate team members.
- Assist customers with basic dealership inquiries and route calls as needed.
- Monitor and respond to general customer inquiries.
- Provide administrative support to dealership management and various departments.
- Process incoming and outgoing mail and deliveries.
- Assist with filing, data entry, document scanning, and record maintenance.
- Support dealership events and customer communications as needed.
- Maintain office supplies and assist with ordering when necessary.
- Collaborate with Sales, Service, Parts, and Administrative departments to ensure a seamless customer experience.
- Assist with special projects and additional duties as assigned.
- Support dealership operations while maintaining professionalism and confidentiality.
Required
- High school diploma or equivalent.
- Previous customer service, receptionist, administrative, or hospitality experience preferred.
- Excellent verbal and written communication skills.
- Strong attention to detail and organizational abilities.
- Proficiency with Microsoft Office and basic computer systems.
- Ability to multitask and prioritize in a fast-paced environment.
- Professional appearance and demeanor.
- Reliable attendance and punctuality.
- Previous automotive dealership experience.
- Experience working with multi-line phone systems.
- Bilingual communication skills are a plus.
- Ability to sit, stand, and move throughout the dealership as needed.
- Ability to use a computer, telephone, and other office equipment for extended periods.
- Occasionally lift or move items up to 15 pounds.
