Position Summary
The Payroll Clerk is responsible for administering the complete weekly payroll cycle, including reviewing and entering employee time, processing payroll, making payroll tax deposits, maintaining payroll records, and ensuring accuracy and compliance with company policies and applicable laws and regulations. This position requires strict attention to detail and the ability to consistently meet deadlines. This position is office based.
Key Responsibilities:
- Collect, verify, and accurately enter employee payroll data, including per diem payments and mileage reimbursements.
- Process salary adjustments, retroactive pay, and timecard changes.
- Process weekly payroll and initiate direct deposit transfers.
- Process weekly and monthly tax deposits, weekly 401k and HSA deposits, and weekly garnishment payments in a timely and accurate manner.
- Manage direct deposit setups and tax withholdings.
- Maintain accurate records and supporting documentation in compliance with audit standards.
- Prepare, review, and reconcile payroll reports including certified payroll.
- Respond to and resolve employee payroll questions and discrepancies in a timely manner.
- Ensure accurate payroll deductions for employee benefits.
- Process benefit-related changes such as insurance, retirement savings plans, and leave adjustments.
- Ensure adherence to internal policies and all applicable federal and state payroll regulations.
- Maintain strict confidentiality of employee information.
- Assist with audits and reporting as needed.
- Prepare quarterly and annual payroll tax filings including 941, FUTA, SUTA, W-2’s.
Qualifications and Skills:
- High level of discretion, professionalism, and integrity.
- Strong mathematical, analytical, and problem-solving skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Excel, Word, and payroll software systems required. Experience with Spectrum and Traqspera is a plus.
- Ability to prioritize tasks, work independently, and meet strict deadlines.
Education and Experience:
- High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or related field preferred.
- Minimum of 2 years of payroll administration experience preferred.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) are a plus.
A weekly work week will consist of 15-20 hours.
Hourly pay range will be $18 to $22 per hour - Depending on the applicant's work experience.
