Position Overview
The Operations Data Management Specialist will provide essential support to the Electronic Document Center (EDoC) by maintaining the integrity, accessibility, and governance of engineering documentation and operational data. This role is central to advancing content management efficiency, improving metadata structures, and ensuring accurate, high-quality information across engineering systems.
Working closely with engineering leadership, technical teams, and cross-functional stakeholders, the specialist will develop Power BI reporting, support Canon Direct Print Exec administration, manage NDA compliance workflows, and guide the continuous improvement of document management processes. This position plays a vital role in strengthening information governance, supporting mission-critical engineering operations, and enhancing digital continuity across the organization.
Key Responsibilities
- Maintain and enhance the Canon Direct Print Exec database, including metadata, categories, and data integrity updates.
- Support information governance by identifying new attributes and content structures to improve search, retrieval, and system usability.
- Develop and deliver Power BI reports for status tracking, operational insights, and leadership updates.
- Support software upgrades and enhancements by conducting testing, documenting results, and recommending solutions.
- Collaborate with engineering stakeholders to gather requirements and improve content organization and sharing.
- Serve as a subject matter expert for engineering information and data management systems.
- Lead and review the work of information data stewards and data management associates.
- Identify and correct data errors in coordination with data owners and support change management efforts.
- Manage NDA administration, including database maintenance, required trainings, and compliance tracking.
- Maintain operational use of Canon large-format scanners, aperture card readers, plotters, and desktop scanning equipment.
- Support system analysis activities, including the creation of concept documents and system requirement documentation.
- Ensure proper document workflows within SharePoint, including metadata optimization and content permissions management.
Required Qualifications
- Administrator-level expertise with the Canon Direct Print Exec suite, with proven ability to demonstrate full functional knowledge.
- Proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, and Power BI.
- Strong experience managing SharePoint environments, improving metadata structures, and optimizing document workflows.
- Hands-on experience with permissions management, SharePoint workflows, e-Builder uploads, and NDA/security document administration.
- Demonstrated ability to manage programs and projects, including resource planning, risk management, process reengineering, and status reporting.
- Technical skills in setup, operation, and troubleshooting of large-format and desktop scanning equipment, including aperture card readers.
- Strong system analysis capabilities with experience producing concept, scope, and requirements documents.
- Ability to read, interpret, and extract information from engineering documentation.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively, with strong prioritization and time-management skills.
- Experience working in or with large public agencies, utilities, or regulated environments (preferred but not required).
Preferred Qualifications
- Experience with large public government agencies or utility organizations.
- Advanced training or certifications in Information Management, Data Governance, or Records Management.
- Experience with regulated security processes, including NDA tracking, SWAC, or agency security compliance.
