About the Company: Tobe Travels is a boutique, high-end travel agency that designs unforgettable journeys for discerning clients around the world. As we continue to grow, we’re seeking a proactive, highly organized Executive Assistant to support the CEO, manage client communications and backend operations, onboard new advisors, and help elevate the client experience.
About the Role: This is a unique opportunity to work behind the scenes in the luxury travel space. You’ll wear many hats—from scheduling and email management to CRM updates, onboarding advisors, and coordinating client gifts. You’ll also assist with light social media content. We’re looking for someone who thrives on organization, communicates clearly, and understands what it means to offer exceptional, white-glove service. This is part time of 15-20 hours per week but I hope to grow it into more. I need a person who wants to come in and grow this role into something much bigger and grow the company into something much bigger!
Responsibilities:
Executive Support
- Manage the CEO’s calendar, inbox, and schedule
- Handle communication follow-ups and prioritize tasks
- Support day-to-day operational and administrative needs of the company
Client Affairs & Operations
- Assist with onboarding and nurturing high-end travel clients
- Send contracts, invoices, and manage required documentation
- Track client milestones and send curated gifts
- Maintain CRM data and ensure smooth workflows
- Help create smoother operating systems for advisors to clients and clients to advisors
New Advisor Onboarding
- Set up new advisors in internal systems (CRM, Google Workspace, project tools)
- Ensure completion of all onboarding paperwork
- Provide access and support for company tools and platforms
Qualifications:
- 2 years in executive support, client services, or operations (experience in travel or hospitality is a plus)
- Detail-oriented with excellent time management and written communication
- Highly organized and comfortable managing multiple workflows
- Tech-proficient with tools like Google Drive, Calendly, CRM systems, Canva, Trello/Asana, and Instagram
- Self-starter with a polished, professional demeanor and service-first mindset
- Bonus: A strong eye for luxury details and brand consistency
