Job Overview
We are seeking a dynamic and experienced Operations Coordinator to contribute to our daily operations at Alaska Event Services. The Operations Coordinator position is directly responsible for assisting with event rental operations to ensure the timely and safe movement of freight and rentals in the most efficient and economical way. This role requires a fast paced employee who can effectively manage resources, lead teams, and work efficiently. Reports to the Operations Manager.
Essential Duties and Responsibilities (including but not limited to):
- Assist Operations Manager with station audits, and provide information needed for service orders
- Monitor maintenance on all material handling equipment and provide safety training for all employees
- Load and unload event rentals
- Follow the company’s policies on receiving product and inventory control
- Follow safety and lifting protocols during deliveries, and conduct safety reviews
- Create and manage incident reports as necessary
- Organize warehouse and placement of product
- Maintain and cleaning vehicles (including Forklift)
- Communicate and assist warehouse employees, installers and other team members
- Deliver products to designated locations as needed
- Cross-train with the Operations Manager to understand and implement the SOP’s and implementing process improvements
- Understand workflows and utilize company computer systems to ensure accurate information is obtained
- Assemble and build crates, skids, pallets and/or other special packaging
- Build event and tradeshow inventory as necessary
- Keep inventory in good condition
- Assist shipping and receiving by unloading trucks and checking in inventory
- Prepare service orders by processing requests, pulling materials, packing boxes, and placing orders in delivery area
- Sort and place materials or items on racks, shelves, or in bins, according to organizational standards
- Maintain inventory control by collecting stock location orders, printing requests, and recording amounts of materials or items received or distributed through a computer. May also need to assist in the counting of physical inventory.
- Maintain safe and clean work environment by keeping shelves, pallet area, and workstations neat, which would include sweeping, dusting, and mopping; organize warehouse and work area for orderliness at all times
- Manage logistics and inventory of all tradeshow installation and removal
- Prepare all tradeshow load lists
- Maintain current inventory lists
- Prepare floor marking and manage tradeshow and rental installations and removal
- Manage installation of electrical distribution systems
- Tradeshow Equipment Maintenance/Repairs (replace table legs, repair dollies, grease carts etc.)
- Receive all inventory shipments and opening boxes to verify quantities, ensure no damage, and prep items as needed for day of event
- Manage all inboard and outbound freight including receiving, logging, notifying, recording potential damages, delivery logistics, etc. Assist exhibitors with individual needs, obtain shipping labels, coordinate pick up schedules.
- Perform other duties as assigned that support the overall objective of the position.
Required Skills and Experience:
- Equivalent combination of education and personal experience considered
- A broad range of operation experience including but not limited to: customer service, maintenance, facility requirements, warehouse management and safety/regulatory requirements
- Excellent time management
- Intermediate computer skills with working knowledge of Microsoft Office (Outlook, Word, PowerPoint and Excel)
- Basic carpentry skills required to maintain inventory
Work Environment:
- Warehouse - physically strenuous, prolonged periods of time standing with exposure to noise (may be excessive at times), varying temperatures and humidity, in and around heavy moving equipment
- Outdoor - prolonged periods of time standing with exposure to prevalent weather, dust, dirt, fuel, fumes and noise, in or around heavy equipment and moving vehicles
- Willingness to work other than scheduled times when needed in order to meet deadlines or ensure that daily work is completed
Physical Demands:
- Must be able to use hands to handle or feel objects, tools or controls; reach with hands and arms, speak and hear efficiently
- Prolonged periods of sitting, standing, walking, bending, stooping, pushing and pulling
- Must be able to lift up to 50 pounds at times
Qualifications:
- Must be 24 years of age or older
- Pass a criminal background check
- Have a valid Driver’s License and a clean driving record
- Ability to regularly lift or move 50 lbs
- Ability to operate forklift & company vehicle
- Experience with computers and Google
- Ability to learn the company's inventory tracking software
- Provide excellent customer service
