Key Responsibilities
Procurement & Logistics Coordination
- Place and track orders for furnishings, fixtures, and materials based on project specifications and timelines.
- Liaise with vendors from quote requests through delivery, managing order confirmations, ETAs, and resolving delays or discrepancies.
- Coordinate deliveries, installations, and schedule updates with vendors, warehouses, and internal team members.
- Maintain accurate and up-to-date procurement records in Studio Designer.
- Process purchase orders, proposals, invoices, and payments.
- File and manage damage claims, returns, or warranty issues.
- Communicate effectively with vendors, clients, and internal accounting regarding all order-related matters.
- Provide administrative assistance to the Interior Design team across multiple projects.
- Generate detailed expediting reports and monitor procurement milestones.
- Serve as a key point of contact for scheduling installations and managing vendor/client communications.
- Maintain inventory and product tracking systems.
- Support design team during furniture installations, photo shoots, and project wrap-up.
- Perform monthly credit card reconciliation, including reviewing receipts, verifying charges and resolving discrepancies.
- Manage the design library: organize samples, maintain vendor catalogs, and facilitate new product presentations.
- Assist with product sourcing and add items to design software for proposals and presentations.
- Occasionally help with visual presentations using InDesign or other studio software tools.
- Strong organizational and time management skills; able to juggle multiple priorities across projects.
- Clear, professional communication both written and verbal with strong attention to detail.
- Proactive, reliable, and capable of independently resolving issues while collaborating with a team.
- Enthusiastic about supporting design outcomes through smooth behind-the-scenes operations.
- Bachelor’s degree or higher.
- 1–2 years of experience in procurement, billing, administration, or logistics—ideally within an interior design, architecture, or related industry.
- Familiarity with the purchasing and expediting process.
- Working knowledge of invoicing, margins, and vendor coordination.
- Professional presence, with the ability to represent the firm to clients and vendors.
- Reliable daily transportation to our Portsmouth, NH office
