Assistant Property Manager (Commercial Real-Estate)

We are seeking a detail-oriented and service-driven Assistant Property Manager to support the daily operations of a portfolio of commercial properties. Key Responsibilities

  • Assist with lease administration, including abstracting leases, tracking critical dates, and ensuring compliance with lease terms
  • Support rent collection efforts, including monitoring delinquencies and following up as needed
  • Coordinate tenant move-ins and move-outs, including suite inspections and documentation
  • Serve as the primary point of contact for tenant requests and concerns, providing prompt and professional resolution
  • Maintain and track Certificates of Insurance (COIs) for tenants and vendors
  • Dispatch and coordinate maintenance requests with vendors
  • Act as a liaison between tenants, vendors, and property management to ensure efficient communication and service delivery
  • Assist with vendor management, including contract tracking, service scheduling, and performance follow-up
  • Maintain organized records
  • Conduct periodic property inspections to ensure cleanliness, safety, and overall asset appearance
  • Provide on-site support at multiple properties as needed
  • Assist Property Managers with budgeting, reporting, and special projects
  • Perform other duties as assigned

Qualifications & Skills

  • 3–5 years of experience in commercial property management, property administration, or a related field
  • Working knowledge of commercial leases, CAM reconciliations, and basic accounting principles a must
  • Familiarity with property management systems (Rent Manager and Quickbooks experience preferred)
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent written and verbal communication skills
  • Strong customer service and interpersonal skills
  • Highly organized with strong time management and multitasking abilities
  • Detail-oriented with a high level of accuracy
  • Ability to work independently and collaboratively in a team environment
  • Ability to prioritize tasks and meet deadlines in a fast-paced setting

Preferred Qualifications

  • Experience supporting multiple properties or a portfolio environment
  • Basic understanding of building systems (HVAC, plumbing, electrical)
  • Bookkeeping experience
