Position Overview
The Front Desk Receptionist is the first point of contact for our firm. This person will greet clients, manage phone and email communication, schedule meetings, and provide administrative support to ensure smooth day-to-day operations. The ideal candidate is organized, friendly, and detail-oriented with strong communication skills and a professional demeanor.
Key Responsibilities
Client Communication & Reception
- Greet and welcome clients, ensuring a positive and professional first impression.
- Answer incoming calls and route them to the appropriate team member.
- Manage the front desk email inbox and respond promptly to inquiries.
- Assist clients with appointment scheduling and check-ins.
- Handle incoming and outgoing mail, packages, and courier services.
Administrative Support
- Maintain an organized reception area and client waiting space.
- Assist with scanning, filing, and organizing client documents in Microsoft 365 and shared drives.
- Support the operations team with data entry, engagement letters, and document requests.
- Track incoming tax documents and notify the accounting/tax teams.
- Prepare basic correspondence and assist with client onboarding forms.
Office Coordination
- Manage supply inventory (paper, ink, envelopes, etc.) and place orders as needed.
- Coordinate with building management for maintenance or visitor access.
- Assist the Principal and team with scheduling internal meetings and reminders.
Qualifications
- Experience: 1–2 years of experience in an office, reception, or administrative role (preferably in an accounting, legal, or professional services environment).
- Education: High school diploma required; associate’s degree preferred.
- Skills:
- Excellent written and verbal communication skills.
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
- Strong organizational and multitasking abilities.
- Professional, polite, and confident customer service approach.
- Attention to detail and ability to maintain confidentiality.
Preferred Attributes
- Familiarity with accounting/tax terminology or willingness to learn.
- Ability to remain calm under pressure and handle sensitive information discreetly.
- Bilingual (English–Turkish or Spanish) is a plus.

Pay: $20.00 - $24.00 per hour
