Job Summary
We are looking for a summer/short-term position that could lead into long-term sales/manager position. Our front office employee is on maternity leave for the summer, but we are looking to teach this individual the front office/ administrative duties along with the sales and management portion of the company in hopes of a long term sales and management position.
Duties
- Oversee daily office operations, including managing supplies, equipment, and maintenance requests to ensure an efficient workspace
- Serve as the front desk receptionist, greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy
- Manage calendar scheduling, appointments, and meetings using Microsoft Office and Google Workspace tools
- Handle data entry, filing, proofreading, and document management with accuracy and attention to detail
- Provide exceptional customer support via phone and in person, addressing inquiries promptly and professionally
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Support administrative functions such as organizing files, managing correspondence, and coordinating special projects as needed
Experience
- Previous office management or administrative assistant experience in a fast-paced environment is highly preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Excellent typing skills along with computer literacy in office software and data entry systems
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience handling multi-line phone systems and practicing professional phone etiquette
- Background in clerical tasks such as filing, proofreading, calendar management, and customer service is essential
- Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
- Prior experience as a dental or medical receptionist or personal assistant can be beneficial for understanding specialized workflows
