Position Summary
The Order Processing Clerk is responsible for accurately entering, validating, and coordinating customer order data within the M1 ERP system to ensure the efficient processing of all customer orders. This role serves as a key liaison between Sales, Shipping & Receiving, Customer Service, Production, and Scheduling to ensure order documentation, production travelers, and system records are complete, accurate, and compliant with company procedures.
The position plays a critical role in supporting operational efficiency by ensuring that customer requirements, production specifications, and internal processing instructions are accurately captured and communicated across departments.
Essential Duties and Responsibilities
- Receive order documentation and packing list leads from Shipping & Receiving and enter all required data into the M1 ERP tracking system.
- Match incoming leads with corresponding purchase orders received from the Sales department.
- Verify that all purchase order information matches the lead documentation including customer name, shipping address, quantities, part numbers, shipping dates, pricing information, engineering drawings, and production steps.
- Coordinate discrepancies or missing information with Customer Service or Sales for prompt resolution.
- Generate production travelers in accordance with established procedures to support manufacturing processes.
- Review all data entries for accuracy and completeness prior to releasing orders to production or scheduling.
- Audit traveler documentation to ensure all required information is included before releasing assignments to scheduling.
- Ensure cost data is removed from all documentation sent to the production floor.
- Scan and upload order documentation into the M1 system to maintain electronic records.
- Collaborate with team members to verify the accuracy and completeness of previous day order processing activities.
- Participate in coordination meetings to confirm order details, updates, and production priorities.
- Maintain organized electronic and physical documentation related to customer orders.
Knowledge, Skills, and Abilities
- Strong attention to detail with the ability to accurately interpret and transfer complex order instructions and documentation.
- Ability to analyze and validate multiple data points when processing customer orders.
- Proficiency in ERP systems (preferably M1) and Microsoft Office applications.
- Effective written and verbal communication skills for cross-department coordination.
- Ability to prioritize tasks and manage multiple orders simultaneously in a fast-paced manufacturing environment.
- Strong organizational and documentation management skills.
- Ability to maintain accuracy and focus during repetitive data entry tasks.
- Ability to work independently while contributing to a collaborative team environment.
Required Qualifications
- High School Diploma or equivalent required.
- 1–2 years of experience in order processing, data entry, administrative support, or manufacturing operations preferred.
- Experience working with ERP or order tracking systems preferred.
- Basic understanding of manufacturing workflow or production documentation is a plus.
- Strong attention to detail and accuracy in handling customer and production data.
Supervisor Responsibilities
This position does not have supervisory responsibilities.
FLSA Classification
This position is classified as non-exempt under the Fair Labor Standards Act (FLSA) and is eligible for overtime pay in accordance with applicable federal and state laws and company policy.
