What are the responsibilities and job description for the Payroll Administrator position at Time & Pay Inc?

Time & Pay Inc is seeking a detail-oriented and customer-focused Payroll Specialist to join our team. We are a locally owned payroll service bureau serving multiple clients with strict deadlines and high service expectations.

This role requires strong customer service, organization and multitasking skills. It is ideal for someone who thrives in a fast-moving environment and takes pride in their work, that is seeking a stable career that provides on the job training with plenty of growth opportunities along with a friendly supportive team.

What You’ll Do

  • Process payroll accurately and on time for approximately 60 clients
  • Prioritize tasks daily to ensure payroll deadlines and client expectations are met
  • Enter and update payroll data including pay rate changes, deductions, tax updates, new hires, and other requests
  • Upload and reconcile 401(k), HSA, and Workers’ Compensation files
  • Send payroll previews, follow up with clients before deadlines, and finalize payrolls
  • Respond to client emails and calls professionally and promptly
  • Manage frequent task switching while maintaining accuracy and organization
  • Research and resolve payroll questions by reviewing system history, notes, emails, and records
  • Maintain strict confidentiality of payroll information
  • Identify opportunities to improve efficiency and workflow processes

Helpful Experience (but not required):

  • Payroll or timekeeping experience
  • Familiarity with Payentry or SwipeClock/TimeWorksPlus
  • Strong Microsoft Excel skills (including data organization, basic formulas, and working with spreadsheets for data import)

Compensation & Benefits

  • $16–$19/hour starting range, based on experience and demonstrated ability
  • Performance-based increases as client load, responsibilities and knowledge expand
  • PTO, Paid Holidays, and Flex Time

  • Monday–Friday, 8:00 AM – 5:00 PM
