What are the responsibilities and job description for the Administrative Assistant Coordinator position at Time Equities Inc?
Time Equities, Inc. (“TEI”), a diversified investment, development, asset, and property management, and alternative energy company, is seeking a self-motivated, multitasking, hardworking, administrative assistant to assist all members of the Residential Sales, Leasing, and Asset Management Department.
Responsibilities
The responsibilities include, but are not limited to:
- Maintain various departmental reports relating to sales, leasing, product inventory, departmental income, and regulatory compliance
- Coordinate departmental billing and ensure collection
- Manage the schedule for the Director of Sales & Leasing and the Director of Residential Asset Management & Operations
- Email management for Director of Sales & Leasing
- Manage Brokerage Licensing compliance
- Broker payroll administration
- Marketing coordination, including online listings, content management, ordering marketing collateral, and preparing board packages
- Process condo and co-op sales and leasing board packages for the Operations group
- Record keeping, including filing and organizing documents, and scanning files
- Coding invoices, preparing check requests
- Maintaining receivables system, tracking open invoices/multiple payments.
- Typing offers, correspondence, and brokerage agreements.
- Sending out letters and packages
- Process expense reports, organize meetings, and arrange travel.
- Maintaining attendance records for the department,
- Answering phones, taking, and relaying messages
- Performing various special projects as assigned.
Qualifications
- Good working knowledge of Word, PowerPoint, and Excel
- Minimum three (3) years of experience as an Administrative Assistant.
- Experience working in a real estate firm is a plus.
- New York State notary license and a New York State real estate salesperson's license (or willing to obtain such licenses within 6 months of job start with the company’s support).
