Key Duties
• Professionally greets all visitors, directing them to the appropriate party, service, or location.
• Organizes and implements office functions including procurement of supplies, maintaining office records, and supporting relationships with office vendors.
• Follows established security procedures by monitoring guests and issuing visitor badges.
• Receives and analyzes department Help Intake requests and internal and external mailboxes, ensuring all data is accurate and routed to the appropriate team member.
• Maintains the Desk Reference Training Manual and documents and communicates actions, irregularities, and ongoing needs.
• Assists with contract processes, forms, reporting, and compliance, providing training when necessary.
• Assists with developing templates and guidance documents, ensuring materials are maintained and up to date.
• Prepares mailings and general correspondence to employees and visitors.
• Requests necessary service and maintenance for front desk office equipment to ensure optimal efficiency.
• Executes all responsibilities with a focus on achieving team goals and objectives, while adhering to all policies, procedures, and legal requirements.
Job-Specific Experience, Education & Skills
Required
• 1 year of experience in a fast-paced office environment, or related area.
• Excellent interpersonal and communication skills, both written and verbal.
• Strong attention to detail with a focus on accuracy and completeness of information.
• Knowledge of general administrative and clerical procedures and ability to operate standard office equipment (telephone, copier, printer, etc.).
• Understanding of customer service principles and ability to manage multiple tasks simultaneously, including handling confidential information.
• Ability to build and maintain positive relationships with employees, vendors, and the public.
• Ability to respond quickly and appropriately in emergency situations.
• Proficiency with Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook.
• High school diploma or equivalent required.
• Must be at least 18 years old.
• Must be authorized to work in the U.S.
