Responsibilities
- Greet patients warmly and manage check-in/check-out processes with professionalism and efficiency.
- Schedule appointments accurately using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth.
- Verify insurance coverage, process insurance claims, and perform collections related to patient accounts.
- Maintain and update patient records ensuring compliance with HIPAA regulations and clinical confidentiality policies.
- Review documentation for accuracy, including CPT coding, ICD-9/10 codes, and care plans to support billing and clinical documentation.
- Manage multi-line phone systems with excellent phone etiquette to handle inquiries, appointment rescheduling, and follow-up calls.
- Assist with filing, data entry, and managing electronic health records (EHR) using systems like eClinicalWorks or Dentrix.
- Support clinical staff by coordinating patient intake, preparing medical records for visits, and assisting with office management tasks.
- Ensure smooth clinic operations by managing office supplies, maintaining filing systems such as Eaglesoft or Dentrix, and supporting front desk activities.
Requirements
- Proven experience as a Medical Receptionist or in a similar medical office administrative role with clinic experience preferred.
- Strong knowledge of medical terminology, health insurance procedures, and medical billing/coding including ICD-10/CPT coding standards.
- Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Eaglesoft or Dentrix is highly desirable.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing (10 key typing).
- Ability to handle sensitive information with discretion while adhering to HIPAA guidelines.
- Exceptional customer service skills combined with professional phone etiquette and strong communication abilities.
- Bilingual capabilities are a plus to serve diverse patient populations effectively.
- Prior office management or clerical experience in a healthcare setting is advantageous.
- Knowledge of health information management practices related to medical records and insurance verification processes.
