Tibbetts Lumber Co. a growing Lumber and Building materials company, is seeking a qualified Administrative Billing Coordinator. (BisTrack Experience Required)
Essential Duties and Responsibilities:
- Prepare and edit correspondence, communications, presentations, and other documents
- Conduct research, collect and analyze data to prepare reports and documents
- Maintain databases
- File and retrieve documents and reference materials
- Monitor, screen, respond to, and distribute incoming communications
- Answer and manage incoming calls
- Receive and interact with incoming visitors
- Liaise with internal staff at all levels
- Interact with external clients
- Collaborate with finance and sales professionals to maintain accounts receivable
- Compile and process information such as prices, discounts, shipping rates etc.
- Ensure customers are billed correctly for services offered
- Issue invoices and distribute them electronically or by mail
- Communicate with customers to answer questions
- Keep accurate records (customer information, received payments etc.)
- Post customer payments
- Prepare and submit statements
- Track and manage outstanding invoices
- Coordinate communications between locations, vendors, and customers to support day-to-day administrative and operational processes
- Perform various accounting tasks such as reconciling customer payments and remittances
- Send invoices weekly to customers
- Provide superior customer service to internal and external customers at all times
- Travel requirements – 25%
- All other duties as assigned
Experience Required:
- Minimum 2 years of hands-on experience with BisTrack
- At least 2 years of experience providing administrative support
- Associate's Degree in Accounting, Business, or related field (preferred)
- Prior billing or accounts receivable experience required
Knowledge, Skills, & Abilities
- Highly developed computer skills and in-depth knowledge of relevant software such as Microsoft Excel and the MS Office Suite
- Knowledge of standard office administrative practices and procedures
- Knowledge of building materials and processes is a plus
