We are looking for a highly organized, proactive, and people-focused Staffing Coordinator to support our operations by helping ensure the right staff are in the right place at the right time. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and understands how critical staffing is to patient care, team support, and operational success.
Position Summary
The Staffing Coordinator is responsible for supporting staffing operations across assigned regions. This role helps coordinate schedules, fill open visits or service needs, track staffing gaps, communicate with staff, and support leaders in maintaining proper coverage. The Staffing Coordinator plays a key role in ensuring continuity of care, reducing missed services, and helping teams operate efficiently.
Key Responsibilities
- Coordinate staffing assignments to ensure patient service needs are covered timely and appropriately
- Fill open shifts, visits, or caseload needs by working closely with field staff, therapists, and leadership
- Communicate with employees, contractors, and leaders regarding schedule changes, coverage needs, and staffing updates
- Monitor staffing gaps, call-offs, availability changes, and coverage risks
- Assist with onboarding-related staffing readiness, including tracking start dates, availability, and placement needs
- Maintain accurate scheduling and staffing records in company systems
- Partner with regional and operational leaders to identify recurring staffing issues and support solutions
- Help balance staffing needs across teams while considering geography, skills, and patient needs
- Support efforts to improve staff utilization, reduce unfilled visits, and minimize service disruption
- Escalate urgent staffing concerns, attendance issues, or repeated coverage problems to leadership
- Participate in staffing meetings, team huddles, and planning discussions as needed
- Provide excellent customer service to both internal staff and external stakeholders
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Experience in staffing, scheduling, healthcare coordination, home health, therapy services, or workforce management preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple moving pieces in a fast-paced environment
- Strong communication and problem-solving skills
- Ability to remain calm, professional, and solutions-focused under pressure
- Proficiency with scheduling software, Microsoft Office, and general computer systems
- Healthcare or multi-location staffing experience is a plus
