Thorpe Design, Inc. is looking for a Billing/Collections Specialist to participate in our operations.
Thorpe Design, Inc. is a C-16 licensed Fire Sprinkler Contractor in the state of California since 1986. As one of the largest residential sprinkler contractors in California, we have well established and consistent work with many home builders throughout Northern California.
Job Summary:
The Billing/Collections Specialist will manage project invoicing, ensuring accuracy, contract compliance, handling documentation, change orders and A/R to maintain project cash flow. This role requires a detail-oriented individual with at least 3 years' experience in accounts receivable, preferably in the construction industry. Experience with AIA billing, CA liens releases and waivers and knowledge of CA collection law is a strong plus. The ideal candidate will possess excellent communication skills, exceptional organization abilities, and strong follow-up and time management skills.
Billing Specialist
· Invoice Processing: Prepare and submit progress billings, change orders, and final invoices. · Contract Compliance: Review contracts (like AIA), work orders, and subcontractor agreements for billing accuracy.
· Coordinate with project managers, clients, vendors, and accounting to resolve discrepancies and gather info.
· Customer service to internal and external customers
· Coordinate with collection team to resolve billing issues and ensure accuracy of invoices.
· Maintain organized documentation and records related to accounts receivable and billing activities.
Collection Specialist
· Accounts Receivable Management: Monitor aging reports, identify past due accounts, and maintain AR records. · Client Communication: Make outbound calls/emails to clients (contractors, clients) about overdue payments. · Negotiation: Arrange payment plans, settle disputes, and resolve billing discrepancies. · Documentation: Accurately record all collection efforts and account updates. · Reporting: Provide management with regular updates on collection status and AR health. · Customer Service: Maintain positive client relationships while ensuring timely payments.
· Initiate and help drive process improvements to the collections process.
· Initiate and accept payments via phone or email.
· Mail customer statements monthly.

Requirements:
· High School Diploma or Equivalent
· Experience in construction billing, contracts and/or collections.
· Excellent organizational skills and strong attention to detail and data management
· Understanding of construction contracts and billing procedures (e.g. AIA billing, lien waivers)
· Ability to manage multiple tasks and prioritize work accordingly
· Ability to work independently in a fast-paced environment
· Proficiency in Microsoft Word and Excel
· Excellent oral and written communications skills are a must; the ability to communicate clearly to all levels of the company, as well as external customers, is key to this position.
· Strong team-player with a can do attitude.
Must pass Pre-Employment drug & background screening
All work is full time Monday-Friday with a minimum of 40 hours a week of work with the option of overtime as needed.
- Health Insurance: After completion of 60 days employment, health insurance is available. A portion of the premium is paid by Thorpe Design for the employee only. Coverage is available for dependents at full cost. Pre-tax dollars used for premium payments
- Paid Time Off: Holiday Pay – generally 8 paid days per year. Sick Pay – 40 hours per year.
- After completion of 120 day probation period accrued vacation is available
- Dental Benefit: After completion of 120 day probation period reimbursement of 75% of paid bill up to $600 per year
- Vision Benefit: After completion of 120 day probation period, reimbursement of 75% of paid bill up to $100 per year
