Position Summary
The Executive Assistant is a key part of our team and helps keep the firm running
smoothly day to day. This role provides administrative, operational, and client support to
firm leadership while helping ensure an exceptional experience for our clients.
The ideal candidate is organized, dependable, and enjoys working with people. They
are comfortable managing multiple priorities, communicating with clients, and keeping
projects moving forward. This person plays an important role in supporting our
leadership team, maintaining efficient workflows, and helping create a positive
experience for everyone who interacts with our firm.
Key Responsibilities
Executive & Administrative Support
Manage calendars, schedule meetings, and coordinate appointments for firm
leadership
Prepare meeting materials and help keep projects and priorities on track
Assist with special projects and provide day-to-day support to the leadership
team
Serve as a professional point of contact for clients, vendors, and team members
Help maintain office organization, supplies, and administrative processes
Client Support
Provide friendly, responsive service to clients by phone, email, and in person
Assist clients with document uploads, electronic signatures, and portal access
Guide clients through administrative processes and answer general questions
Prepare client packets and coordinate document collection and follow-up
Workflow & Document Management
Maintain workflow systems to ensure deadlines and client deliverables stay on
schedule
Organize, upload, and manage client documents and records
Monitor outstanding items and follow up with clients as needed
Maintain accurate and organized filing systems, both digital and physical
Billing & Office Operations
Process invoices and client payments
Assist with accounts receivable, collections, and payment arrangements
Handle incoming and outgoing mail and document distribution
Support the daily administrative needs of the office
Process Improvement & Team Support
Help identify ways to improve efficiency and client service
Maintain confidentiality and professionalism in all interactions
Support team members and contribute to a positive, collaborative work
environment
Other duties as assigned
Qualifications
Required
3 years of experience in an Executive Assistant, Administrative Assistant, Office
Manager, or similar role
Exceptional organizational and time-management skills
Strong written and verbal communication abilities
Proficiency with Microsoft Office, Google Workspace, and cloud-based business
applications
Ability to manage multiple priorities and deadlines simultaneously
Strong attention to detail and commitment to accuracy
Professional demeanor and ability to maintain confidentiality
Preferred
Experience working in a professional services, accounting, tax, legal, or financial
services environment
Experience with client relationship management (CRM), workflow management,
or document portal systems
Knowledge of billing, invoicing, and accounts receivable processes
Demonstrated ability to support multiple executives or business leaders
Strong problem-solving skills and a proactive approach to administrative support

Pay: $18.00 - $21.00 per hour
