WHAT YOU WILL DO
The Parts Willcall position is responsible for the origination, location, accurate handling, and distribution of parts for customer willcall orders. This position ensures parts are accurately checked, organized, and prepared before being released to customers. The Parts Willcall Specialist will provide a high level of customer service while communicating effectively with customers, coworkers, vendors, and managers. This role requires strong attention to detail, organization, and the ability to maintain an efficient and accurate parts willcall process.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Manage the origination and location of parts for customer willcall orders.
- Locate, organize, stage, and prepare parts for customer pickup.
- Accurately check and verify part numbers, quantities, and order information before releasing parts to customers.
- Provide exceptional customer service by assisting customers with parts inquiries, order status updates, and willcall pickups.
- Maintain organized and accurate records of parts transactions and inventory movements.
- Communicate effectively and professionally with customers, coworkers, vendors, and managers, both verbally and in writing.
- Ensure parts are properly handled, stored, and processed according to company policies and procedures.
- Assist with resolving parts discrepancies, missing items, incorrect quantities, or other order-related concerns.
- Maintain a clean, safe, and organized willcall and parts staging area.
- Demonstrate strict adherence to all applicable company and corporate safety standards.
- Must be available to work at the assigned location, including overtime, evenings, or weekends as needed.
- Requires frequent hand use for typing, operating the phone, handling parts and materials, and performing other job-related tasks.
- May work in an environment where hazards are present.
- Other duties as assigned.

BASIC QUALIFICATIONS
EDUCATION & EXPERIENCE
- High school diploma or equivalent required.
- Previous experience in parts handling, parts willcall, inventory, warehouse operations, or customer service preferred.
- Experience working within a heavy equipment, automotive, equipment rental, industrial, or dealership parts environment preferred.
- Previous experience utilizing inventory management or parts ordering systems is preferred.
KNOWLEDGE, TECHNICAL SKILL, & ABILITIES
- Knowledge of parts willcall processes and procedures preferred.
- Ability to efficiently originate, locate, organize, and accurately process parts.
- Strong attention to detail with the ability to verify part numbers, quantities, and customer order information.
- Excellent customer service skills with a professional and customer-focused demeanor.
- Excellent verbal and written communication skills.
- Basic computer skills and the ability to learn company-specific inventory management, parts ordering, and business systems.
- Ability to communicate effectively with customers, coworkers, vendors, and managers.
- Strong organizational and multitasking skills with the ability to manage multiple customer orders and priorities.
- Must have patience and the ability to perform routine tasks accurately and consistently.
- Ability to work effectively both independently and in a team-oriented, collaborative environment.
- Displays flexibility and handles changes to assigned responsibilities with ease.
