Graduate Assistant for Housing Operations & Administration
Department: Housing & Residence Life
Reports To: Assistant Dean of Students
Position Summary
The Graduate Assistant for Housing Operations & Administration supports the operational efficiency, logistical coordination, and data management of the Office of Housing & Residence Life. This position focuses on systems, processes, and accountability to ensure smooth residential operations, accurate communication between departments, and consistent service for residents. This is a required live on-campus position.
Key Responsibilities
- Assist in the coordination and management of housing assignments and operations such as check-ins, check-outs, and key distribution/returns.
- Maintain and update databases, housing rosters, occupancy reports, and maintenance tracking systems.
- Oversee preventive maintenance processes, work order follow-up, and departmental communication with Facilities, Maintenance, and I.T.
- Support RA duty scheduling, on-call calendar management, and emergency response coordination.
- Assist with RA recruitment and selection process.
- Develop and monitor digital systems such as Excel tracking sheets, Microsoft Forms, and automated reporting workflows.
- Assist with departmental assessment through feedback surveys, data collection, and semester reports.
- Ensure compliance with university housing policies and support departmental audits and evaluations.
- Serve as a professional staff member in crisis response, conduct meetings, and administrative coverage.
- Participate in the on-call duty rotation for after-hours support and emergency response(may include some evening/nights, weekends, and holidays).
Qualifications / Skills
- Must be registered and enrolled full-time in a master’s/graduate program at Thomas More University.
- Strong organizational and analytical skills with advanced proficiency in Microsoft Excel, Forms, and Power Automate.
- Exceptional attention to detail and ability to manage multiple tasks efficiently.
- Strong communication and coordination skills across departments.
- Experience in residence life, housing operations, or administrative systems preferred.
