Ministry Secretary [Full-Time, Inactive]
Principal Function:The Ministry Secretary provides vital administrative and clerical support to the Senior Pastor, church staff, and various ministries of Third Baptist Church. By maintaining the organization, communication, and hospitality of the church office, the Ministry Secretary helps sustain the ministries and mission of the congregation with excellence and care.
Key Responsibilities:
Administrative Support
- Provide secretarial and office assistance to the Senior Pastor, church staff, and various ministries of Third Baptist Church.
- Assist ministers and staff with appointment scheduling, agenda coordination, and reminders of upcoming events.
- Prepare agendas and documentation for Church Business Meetings based on recommendations furnished by committees, teams, and congregational leaders.
- Maintain official church records, including minutes of Church Business Meetings, membership data, and records of elected officers and committees.
Communication and Publications
- Design and publish the church newsletter, The Courier.
- Create and produce Orders of Worship for all worship services, in collaboration with the Senior Pastor and Director of Music and Worship, ensuring they are printed, folded, and distributed for Sunday and special services.
- Coordinate mailings, publications, and internal schedules.
- Manage church communications, including bulletins, emails, newsletters, website updates, phone calls, and social media postings.
- Send regular communications on behalf of the Senior Pastor, including:
- Welcome letters to new members and visitors
- Sympathy notes to grieving families
- Congratulations on special milestones
Office Management and Organization
- Oversee the general organization of the church office, ensuring appropriate filing, inventory management, and upkeep of the supply closet and copier room.
- Pick up and send mail on an appropriate schedule.
Financial Record-Keeping
- Prepare all weekly monetary collections — including offerings, online gifts, and other receipts — and organize them for the money counters, ensuring accurate and timely handling.
- Post weekly contributions to members' giving records.
- Prepare and mail annual contribution reports to the congregation.
Facility Scheduling and Policy Management
- Coordinate the church’s facility schedule, including weddings, building usage, and special events, ensuring all activities align with church policies and approved fee structures. Serve as the primary point of contact for facility reservations, rentals, and logistics.
Ministry Support and Benevolence
- Meet with individuals seeking benevolence assistance and provide information to the Missions Team for follow-up and decision-making.
- Manage benevolence assistance records with confidentiality and care.
- Provide administrative support for various church committees, teams, ministries, and congregational leaders as needed.
Hospitality and Connection
- Foster a welcoming spirit in the church office by warmly engaging with visitors, guests, gathered friends, and members, helping all feel embraced by the love of Christ and connected to the church community.
- Respond to door intercom calls with attentiveness and care, providing access to the church facilities to those requesting entrance. Serve as a welcoming presence for all who come to the church, often fielding multiple requests daily—including outside regular office hours.
