The Financial Aid Advisor will provide comprehensive guidance to current and prospective students regarding financial aid options, including grants, scholarships, loans, work-study programs and Payment plans. The advisor will ensure that students are informed about the financial aid process, eligibility requirements and will assist in completing necessary documentation and applications. This position requires punctuality, a high level of customer service, attention to detail, and the ability to explain complex financial concepts in a clear and approachable manner.
Key Responsibilities:
· Counseling and Advising:
Provide one-on-one assistance to students and their families regarding financial aid options, eligibility, and processes. Explain federal, state, and institutional financial aid programs, including grants, loans, and scholarships.
· Application Processing:
Guide students through the completion of the Free Application for Federal Student Aid (FAFSA), TAP (Tuition Assistance Program) applications, and other necessary paperwork. Ensure that all required documentation is submitted correctly and on time.
· Verification and Professional Judgment Compliance:
Ensure that financial aid files are complete, accurate, and compliant with federal, state, and institutional regulations. Process verification documents and assist in resolving any discrepancies or C-Code issues. Knowledge of processing PJ and D/O preferred.
· Award Packaging:
Assess financial aid eligibility and award aid packages according to federal, state, and institutional guidelines. Notify students of their award status and provide clear explanations of their financial aid packages.
· Award Repackaging:
Assess financial aid eligibility and award aid packages according to federal, state, and institutional guidelines and repackage students due to change of session, programs, re-entry and due to changes in ISIR and TAP award. Notify students of their award status and provide clear explanations of their financial aid repackages.
· Certification of NYS TAP and process ACCESS-VR proposal:
Process TAP Rosters, Certify TAP in HESC website, and reconcile TAP Remittance. Advise with Bursar. Knowledge of ACCESS-VR and how to execute a proposal for a qualified student is preferred.
· Communication and Outreach:
Maintain communication with students throughout the financial aid process, answering questions via email, phone, text message and in-person. Assist with outreach efforts to inform prospective students about available financial aid options.
· Record Keeping and Reporting:
Maintain accurate records of financial aid applications, awards, and disbursements. Prepare reports as needed for the Director of Financial Aid or other relevant departments.
· Customer Service:
Provide excellent customer service by addressing concerns and providing clear, accurate, and timely information. Help students understand their responsibilities regarding loan repayment and financial obligations.
· Collaborate with Other Departments:
Work closely with admissions, student affairs, and other departments to ensure a seamless process for incoming and current students.
· Maintain Knowledge of Financial Aid Regulations:
Stay up-to-date on federal, state, and institutional financial aid policies, procedures, and regulations to ensure compliance and best practices.
Qualifications:
- Bachelor’s degree preferred, or equivalent work experience in financial aid, student services, or related fields.
- Previous experience in financial aid advising, higher education, or customer service preferred.
- Strong understanding of federal financial aid programs, including FAFSA, Pell Grants, SEOG, Federal Work-Study, and student loans.
- Excellent interpersonal and communication skills, with the ability to explain complex financial concepts in an understandable way.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
- Proficiency in Microsoft Office Suite and experience with financial aid software (e.g., PowerFAIDS, Campus Vue, Campus Cafe, or similar systems) preferred.
- Attention to detail and accuracy is a must.
- Ability to work independently with minimal supervision as well as part of a team.
- A passion for helping students succeed and achieve their educational goals.
Work Environment:
- Full-time, in-office position.
- Occasional weekend hours may be required during peak periods (such as start of terms, school events, admissions open house or financial aid projects and, audit deadlines). Minimum two evening shifts (10.30-7) is required.
